Data Storage and Management Scope
Dedicated Database for Each Client
All FAQs, knowledge, and configuration data used in TuneAIBot are stored in separate, dedicated databases for each client.
Your data is never mixed with that of other companies and is clearly managed on a per-client basis.
Rather than being logically separated within a shared database, the system is designed so that it is always clear which data belongs to which company from an operational and management perspective.
Where Data Is Sent
Only Between TuneAIBot and the OpenAI API
User inquiries and the data required for AI response generation are transmitted only between TuneAIBot and the OpenAI API.
- No transfer to third-party services
- No secondary use for advertising or training purposes
Data is sent via API strictly on a per-request basis and only to the extent necessary for generating responses.
Who Can Access the Data
Only Client Staff and the AI
Direct access to the data is limited to:
- Client staff
Creation, editing, updating, and management of FAQs and knowledge - AI (TuneAIBot)
Processing responses based on registered FAQs and knowledge
TuneAIBot operators are not expected to view or edit individual client FAQs or knowledge as part of standard operations.
Transparent Data Flow by Design
TuneAIBot is designed to clearly define and explain:
- Where data is stored
- Where data is transmitted
- Who can access the data
These three points are never ambiguous.
Because AI is involved, clarity of data location and responsibility boundaries is a core design priority.
